MGRM Account Help centre

One MGRM Account signs you in to every MGRM app: Mail One, DDMS Drive and the MGRM Account page.

Help for each app

Looking after MGRM for your organisation? See For administrators.

Signing in

  1. Enter your work email address and select Next.
  2. Enter your password, or choose Try another way to use a passkey if you have created one.
  3. If you have turned on 2-Step Verification, enter the code from your authenticator app or use your security key.

Once you are signed in to one MGRM app, the others open without asking again. Signing out of any of them signs you out of all of them.

Forgot your email address?

Your MGRM Account is your work email address, the one your organisation gave you (for example firstname@yourcompany). It is the same address you use in Mail One.

If you are not sure which address you have, ask your IT administrator.

Forgot your password?

Your password is kept in your organisation's directory, so only your IT administrator can reset it. Contact them and they will set a new one for you.

If you still know your password and only want to change it, sign in and open your MGRM Account → Security → Password. The new password works in every MGRM app, and in mail programs on your phone or computer, straight away.

2-Step Verification and passkeys

Add a second step so that a password alone is not enough to get into your account. On your MGRM Account → Security you can:

  • Add an authenticator app (for example Google Authenticator or Microsoft Authenticator) that shows a new 6-digit code every 30 seconds.
  • Add a security key that you touch when you sign in.
  • Create a passkey, which signs you in with your fingerprint, face or device PIN instead of a password.
  • Set up recovery codes: one-time codes to use if you lose your phone or key. Keep them somewhere safe.

Administrators always need an authenticator app (or a passkey) to sign in.

Lost your phone or security key?

On the 2-Step Verification page choose Try another way and use one of your recovery codes. Each code works once. After signing in, open Security on your MGRM Account and remove the lost device.

If you have no recovery codes left, ask your IT administrator to remove the second step so that you can set it up again.

Signing in on a shared or public computer

  • Use a private browsing window (Incognito in Chrome, InPrivate in Edge, Private Window in Firefox and Safari). Closing it removes everything the browser kept from your visit.
  • Leave Stay signed in unticked. With it ticked, the computer keeps you signed in after the browser closes, for up to a day.
  • Select Sign out in any MGRM app when you finish. That signs you out of all of them.
  • If you forgot to sign out somewhere, open your MGRM Account → Security → Your devices and sign that device out.

Need an account?

MGRM Accounts are created by your organisation, from its staff directory. You cannot create one yourself. Ask your IT administrator; once your account exists, sign in with your work email address and every MGRM app is available.

Privacy

This is what the MGRM Account itself keeps about you. The data inside each app (your mail, your documents) belongs to that app and to your organisation.

  • Your profile: name, email address and company, read from your organisation's directory. You cannot change them here; your administrator can.
  • Your profile photo, if you add one on the MGRM Account page. It is shown next to your name in the MGRM apps and can be opened by anyone who has its link. Remove it at any time on Personal info.
  • Sign-in activity: when and from which address you signed in, signed out or changed your password or sign-in methods. It is kept for 90 days and is shown to you under Data & privacy and Security.
  • Your sign-in methods: authenticator apps, security keys, passkeys and recovery codes you set up. The sign-in service keeps only what it needs to check them; a passkey's private key never leaves your device.
  • Signed-in devices: each session lasts up to a day and ends after 12 hours without use.

Your organisation's privacy policy applies to all of it. Ask your IT administrator for a copy.

Terms

The MGRM apps are provided to you by your organisation for work. Your organisation's acceptable-use policy and terms of employment govern how you may use them. This page adds no terms of its own; ask your IT administrator for those documents.
