Mail One Calendar Help

Plan your day, invite colleagues and book rooms. Calendar is always available in Mail One; a small version is also in the right-hand rail of Mail.

Finding your way

  • Switch between day, week, month and agenda views at the top, or press d, w, m or a.
  • t goes to today; j or n to the next period and k or p to the previous one.
  • The small month on the left jumps to any day. Days with events have a dot.

Creating events

  1. Select Create or press c, or select a time in the calendar.
  2. Add a title, the time, and if you like a repeat, a notification, a colour and labels.
  3. Choose which of your calendars it goes in, then Save.

When you change or delete one event of a repeating series, you choose This event, This and following events or All events. A notification pops up in open Mail One tabs at the time you chose.

Invitations and replies

  • Add people under Add guests. When you save, they get an invitation by email.
  • An invitation you receive shows as a card in the message, with Going? to answer. You can also answer from the event itself. The organiser sees your reply.
  • If you change or cancel an event, guests are told.
  • Your labels on an event stay yours; they aren't sent to guests.

Finding a time: the Scheduling Assistant

When you invite people, select Find a time. The Scheduling assistant shows a row for each person with their busy times and working hours, and suggests the best times first. Move the meeting with the arrow keys (30 minutes) or Page Up / Page Down (a day), or select a time in a row.

Colleagues see only when you are busy, never what your events are. People outside your organisation see nothing. Events marked as free and invitations you declined don't count as busy.

Working hours

Set the days and hours you work, and your time zone, in Mail's Settings › Calendar. Until you set them, your organisation's default working hours are used (normally Monday to Friday, 09:00 to 17:00). Meeting suggestions keep to people's working hours.

Adding a video meeting

In the event, select Add MGRM Meet video conferencing. The invitation then has the meeting link and a Join button, and so does the event's reminder. See Meet help.

Booking rooms and equipment

  • In the event, use Rooms › Add a room. Filter by seats, building and features, or show only rooms that are free. Each room says whether it is free and whether it needs approval.
  • After you save, each room shows its answer: Accepted, Waiting for approval or Declined, with the reason.
  • Rooms also have their own rows in the Scheduling Assistant.
  • If you approve bookings for a room, Room requests in the calendar's left list shows what is waiting.

Rooms are set up by your administrator. If you don't see them, they may not be in use in your organisation.

Your calendars: create, show, import and export

  • Under your calendars on the left, select Create new calendar. Tick a calendar to show or hide it.
  • A calendar's menu has Display this only, Rename, Make default, Import events (.ics), Export (.ics) and Delete. Deleting offers Undo.
  • To bring a whole Google or Zimbra account across, use Import data on your MGRM Account.

Calendar on your phone or computer

Your calendars and contacts sync with the calendar apps on iPhone, iPad, Mac, Android (with the free DAVx⁵ app) and Thunderbird. Changes show both ways, and invitations you send from your phone go out from Mail One.

  1. Turn on 2-Step Verification on your MGRM Account → Security.
  2. Create an app password for Calendar & contacts. It is shown once.
  3. Follow Connect your apps on the same page. On iPhone, iPad and Mac, Download profile sets up everything in one step.

Outlook can't sync these calendars by itself. Use Mail One on the web or Thunderbird instead.
