Mail One Tasks Help

Keep track of what you need to do, including the mail you need to follow up. Tasks open full page, and in the right-hand rail of Mail.

Adding tasks

Type in Add a task and press Enter. My tasks lists what is still open; Completed lists what you've done.

Details, due dates, reminders and labels

Select a task to edit it. You can add Details, a Due date and time, and Remind me. At the reminder time, a notice appears in open Mail One tabs and on your devices where you turned on push notifications, once. Overdue tasks show their date in red.

Tasks use the same labels as your mail, events and contacts.

Tasks don't sync to the task apps on your phone. Use Mail One in your phone's browser instead.

Tasks from mail and follow-up flags

  • While reading a message, press t (Add to Tasks). The task is tied to the message.
  • Follow up on a conversation (its toolbar, ⋮ menu or Insert) stars the message and adds a task with a date: today, tomorrow, this week, next week, no date, or your own date with a reminder.
  • Marking the task complete removes the star. Unstarring the message, here or in another mail app, completes the task. Clearing the flag removes the task.
  • A task tied to a message has Open message, which finds the message wherever it is now, even after it was archived or moved.
  • The Create task quick step adds the selected conversation to Tasks.

Completing and deleting tasks

Tick a task's box to complete it; untick it in Completed to open it again. To delete a task, open it and select Delete; Undo brings it back, still tied to its message.

Tasks from meetings and AI summaries

If your organisation uses AI, conversation summaries and meeting notes list action items with Add to Tasks. Check what the AI wrote before you rely on it.

If Tasks is turned off for you

Your organisation can turn Tasks off for everyone, for a company or for a group. When it is off for you:

  • Tasks is greyed in the apps menu and marked Turned off by your organisation.
  • Opening it any other way, for example from a link, Add to Tasks or a quick step, explains that it is off.
  • Nothing of yours is deleted. Your tasks are all there again when Tasks is turned back on.

If you need Tasks, ask your administrator.
