Mail One Contacts Help

Keep the people you work with in one place. Contacts also suggest names as you write mail, and a quick-lookup panel is in the right-hand rail of Mail.

Your contacts

  • Contacts: everyone you saved.
  • Starred: the contacts you starred.
  • Other contacts: people you exchange mail with who aren't saved yet. Select Add to contacts to keep one.
  • Directory: your colleagues, from your organisation's directory.

Open a contact to see their details and Recent conversations with them. Select an address to write to them.

Adding and editing contacts

Select Create contact. Besides names and email addresses you can add phone numbers, addresses, a company and title, a birthday (with or without the year), notes and a photo. To change or delete a contact, open it and use its menu.

The directory

The Directory lists everyone in your organisation with their title, department, phone and photo. You can write to a colleague or add them to your contacts from there. Directory names are also suggested as you type an address in a message.

Your organisation may show you only the people in your own company. You can still write to anyone by typing their address.

Labels

Contacts use the same labels as your mail, events and tasks. Add labels when you edit a contact. The labels your contacts carry are listed on the left with how many contacts have each; select one to see only those contacts.

Import and export

  • Import (in the contacts menu): choose a vCard file (.vcf), or a CSV file from Google Contacts or Outlook. Contacts you already have with the same email address are skipped.
  • Export all contacts or Export starred contacts saves a .vcf file. A single contact's menu has Export too.
  • To bring everything across from a Google or Zimbra account at once, use Import data on your MGRM Account.

Contacts on your phone or computer

Your contacts sync with the contacts apps on iPhone, iPad, Mac, Android (with DAVx⁵) and Thunderbird, using an app password, in the same way as your calendar. Photos, several addresses and birthdays come across both ways. See Calendar on your phone or computer for the steps.
